Describe Your Team
We are seeking a highly organized and detail‑oriented Documentation Specialist to support our Global Supplier Quality function within the BioSolutions ingredient industry. In GSQ, you will find 15 highly specialized colleagues responsible for supplier quality across all Novonesis product ranges and production sites. The team is known for a warm and friendly atmosphere and a very collaborative approach to working together. We are excited to onboard a new team member.
Main Tasks And Responsibilities
The ideal candidate will be responsible for the day-to-day handling of supplier documentation, ensuring compliance with food/feed/tech safety and regulatory standards, and maintaining audit‑ready quality records that support a robust and transparent supply chain.
The role is focused on day-to-day handling and execution, mainly with GSQ peers, Procurement as well as Product Quality Managers, Regulatory Affairs, Quality Operations, R&D etc.
From start there will be a degree of optimizing our current way-of-working with document maintenance.

Main Tasks And Responsibilities
The ideal candidate will be responsible for the day-to-day handling of supplier documentation, ensuring compliance with food/feed/tech safety and regulatory standards, and maintaining audit‑ready quality records that support a robust and transparent supply chain.
- Manage supplier documentation: CoAs, CoCs, ingredient specifications, allergen/GMO declarations, nutritional & regulatory documents.
- Maintain controlled documents within the Quality Management System (QMS) with proper version control.
- Ensure compliance with FSSAI, HACCP, GFSI (BRC/FSSC/IFS), FSMA and customer requirements.
- Coordinate documentation flow with suppliers, Procurement, QA, and other stakeholders
- Track document expiry, request updates, and maintain audit ready files.
- Support supplier onboarding and qualification processes (questionnaires, risk assessments).
- Prepare documentation for internal, customer, and regulatory audits.
- Contribute to continuous improvement of document control workflows and digital systems.

Experience & Education
- Bachelor’s degree in Food Technology, Food Science, Life Sciences, Quality, or related field.
- 5–8 years experience in document control, supplier quality, or regulatory support—preferably in the food ingredient / BioSolutions sector.
- Familiarity with HACCP, GFSI, FSSAI, FSMA requirements.
- Experience using QMS/ERP systems (SAP, TrackWise, MasterControl, Veeva, or similar).
- Excellent English language abilities
- High accuracy and attention to detail
- Strong understanding of food/feed safety and compliance
- Effective communication and supplier engagement
- Strong time‑management and multitasking skills
- Proactive problem‑solver
- Integrity and confidentiality in handling critical documents
